1Acceptance and Agreement
These Terms govern use of SrajanAI OS (“ERP” or “Services”), operated by Srajan Data Analytics Private Limited (“Company”, “we”, “us”). By registering for a trial, subscribing, accepting these Terms electronically, or accessing the web or mobile ERP, you agree to these Terms and the ERP Privacy Policy. If acting for a business or organization, you confirm your authority to bind it.
A signed enterprise agreement, order form, data-processing agreement or statement of work takes precedence for the subject matter it expressly covers, subject to mandatory law.
2Product and Scope
SrajanAI OS is a subscription-based farm operations management system. Depending on modules enabled it may provide organization and farm masters, plots, teams, asset/equipment records, task calendars and assignments, SOPs and work instructions, field execution and evidence, supervisor approvals, attendance and labour, expenses and budgets, wages and payroll, inventory, procurement, maintenance/repair, harvest forecasts and actuals, dashboards, reports and mobile access. Feature availability is controlled by the current plan, version, configuration and role permissions.
3Eligibility and Organization Authority
The person registering an organization must be legally capable and duly authorized. Customers are responsible for correctly representing their organization and onboarding employees, workers, contractors or farmers with required authority. An organization can control access to accounts it provisions.
4Registration, OTP and Credentials
Provide accurate contact and account information and keep it updated. Complete required OTP or other authentication. Never share passwords or live OTPs with anyone, including anyone claiming to provide support. Notify support@srajanai.com promptly about suspected unauthorized access.
5Organization Accounts, RBAC and Admins
The organization owner and designated administrators assign users, managers, farms, roles and enabled modules. They must review permissions, protect privileged accounts and revoke access when staff leave. Authorized users may view records consistent with permissions. Customer organizations remain responsible for internal user instructions and lawful personnel monitoring.
6Licence and Intellectual Property
During an authorized trial or paid term, we grant a limited, nonexclusive, nontransferable right to use the ERP for internal organizational purposes, subject to the subscription and these Terms. We and our licensors retain ownership of software, interfaces, methods, trademarks, templates and platform intellectual property. Customer Data remains the property of its lawful owner.
7Trial Access
A time-limited free trial may be offered; the ERP product has been planned around a 15-day trial, but the actual trial duration and entitlements are those displayed in the signup flow or applicable offer. We may restrict trial features, modules, users, storage or activities. Trial access may end without automatic extension. Conversion to paid service requires the applicable purchase or authorization.
8Plans, Module Selection and Limits
Subscription plans may be named Starter, Growth, Professional and Enterprise. Published packages, enabled modules, feature lists, user/activity/storage allowances, support and prices are those shown at purchase. Illustrative published prices previously discussed for Starter, Growth and Professional were ₹1,999, ₹4,999 and ₹9,999 respectively; those figures are not incorporated here as guaranteed current prices, billing frequencies or tax-inclusive prices. Enterprise pricing and scope may be provided by enquiry and written quotation.
A customer may be able to add modules, users, activities or limits with corresponding charges. Exceeding limits can restrict creation of new records or require an upgrade; we will not silently impose unagreed charges.
9Billing, Tax and Payments
We charge in the currency, amount and billing cycle displayed at checkout or in the signed order. Taxes, including applicable GST, will be shown or identified as chargeable. The customer must provide accurate billing details. Payment providers may operate under independent terms. A failed or reversed payment may result in loss of paid entitlements after applicable notice.
10Renewal and Changes
Whether renewal is automatic or manual must be stated in the purchase flow or order form. Where automatic renewal applies, the billing frequency and cancellation method should be disclosed before authorization. Pricing or package changes generally apply prospectively at renewal, with appropriate notice when required.
11Cancellation and Refunds
Customers may cancel under their applicable plan or order form. Cancellation generally prevents a future renewal rather than automatically reversing already provided subscription service. Refund eligibility depends on the disclosed plan, payment channel, any signed agreement and non-excludable consumer or statutory rights. No clause here overrides mandatory refund remedies.
12Customer Data, Licence and Confidentiality
Customers retain their lawful ownership and control of data uploaded into ERP. They grant the Company a limited permission to host, store, process, reproduce and display such data to provide, secure and support the ERP, comply with law and fulfill customer instructions. Each party will use reasonable care with confidential information of the other. The customer warrants that it may lawfully provide all personal, workforce and third-party data it uploads.
13Farms, Plots and Mapping
Customer-supplied farm, acreage, plot and boundary information is an operational planning reference only. It is not a land survey, land-title certification, ownership record or proof of possession. Customers must have authorization to register and manage a property’s information.
14Tasks, Calendars and Evidence
Task schedules, guides, SOPs and assigned responsibilities are customer-managed operational instructions. Field staff may submit timestamps, photos, quantities, notes and GPS evidence. Supervisors may approve, reject, request clarification or reassign work. Review status confirms workflow action, not necessarily the quality, safety or agronomic effectiveness of the underlying work.
15Attendance, GPS and Personnel Monitoring
Attendance and location functionality depend on device and signal quality; GPS records can be wrong or incomplete. Customers are responsible for employee/worker notices, authorizations, labour compliance and fair use of monitoring features. ERP logs do not by themselves conclusively establish workplace attendance or misconduct.
16Payroll, Wages and Tax Compliance
Payroll, labour wages, overtime, advances, deductions, expenses and accounting tools are operational aids. Customers must verify calculation inputs, approvals, applicable minimum wages, taxes, statutory contributions, employment obligations and disbursements. The ERP is not a payroll agency, auditor, tax professional or employment-law adviser unless separately contracted.
17Budget, Expenses, Inventory and Procurement
Inventory, expenses, purchasing, assets and budgets rely on user-input or integrated data. Stock balance, costing, due amounts and reconciliations must be independently reviewed before payment, procurement or reporting decisions. Users must maintain adequate records and authority for expenses, vendors and approvals.
18Machinery, Maintenance and Safety
Maintenance reminders, machine histories and activity schedules are administrative records, not certification of machine safety. Customers remain responsible for inspection, operator training, safe handling, compliance and maintenance performed by competent persons.
19Harvest Projections and Agricultural Outcomes
Expected harvest, production, yield, input needs or other agricultural estimates are planning aids; actual results depend on weather, crop management, input quality, pests, labour and field conditions. SrajanAI does not guarantee yield, income, savings or project success. Customers should use appropriate agricultural expertise and on-ground verification.
20Dashboards, Analytics and Reports
Metrics and reports depend on correct entries, permissions, timing of data sync and configured business rules. Dashboard values may change following edits or reconciliation. Users must independently verify material financial, regulatory, HR or agricultural decisions.
21Mobile Permissions, Offline Work and Sync
Camera, location, notification and storage permissions may be necessary for selected features. Some records may be cached or queued offline, and synchronized after connectivity returns. Offline edits may conflict, be rejected on validation or await server confirmation; a displayed local status may not mean successful server acceptance. Customers should protect devices and ensure critical work has synchronized.
22Third-Party Integrations
External maps, messaging services, payment gateways, app stores, cloud services, accounting tools and other integrations are subject to availability and their providers’ terms. Customers are responsible for authorizing integrations and reviewing what information is shared. We do not guarantee independent third-party service performance.
23Acceptable Use
Do not unlawfully access another user or organization; fabricate attendance, expenses, or execution evidence; upload infringing or unlawful content; bypass module entitlements, billing limits, access controls or API rate limits; introduce malware; impair infrastructure; scrape or reverse engineer protected systems except as law permits; or represent ERP records as government certification or proof of legal land title.
24Security and Customer Responsibilities
Customers must use appropriate RBAC, keep devices and login methods secure, maintain lawful notices and records, check business configurations, train authorized users and promptly notify us of suspicious activity. We will apply reasonable safeguards appropriate to the Services, but no electronic service is entirely risk-free.
25Service Availability, Support and Updates
The ERP may require maintenance, upgrades, network connectivity and third-party services. No particular availability or support response-time guarantee applies unless separately agreed in a plan or SLA. We may update features for security, legal, technical and product reasons; material changes to paid functionality will be handled in accordance with the applicable agreement and law.
26Beta and Experimental Modules
Features expressly labelled beta, pilot or experimental may be incomplete, change or be withdrawn. Such features should not be the sole basis for safety-critical, statutory, payroll, financial or irreversible business decisions.
27Privacy and Data Processing
Our ERP Privacy Policy explains processing of personal information. For customer-controlled employee, contractor and farmer information, the organization ordinarily determines the processing purpose and may be required to provide notices and honor rights requests. A signed data-processing agreement controls where applicable.
28Data Export, Retention and Exit
Customer organizations should export essential information before account closure. Available export formats, termination assistance, grace periods and deletion windows depend on functionality and signed terms. We may retain limited records for billing, audit, legal obligations, security or disputes as permitted by law. No perpetual retention or unlimited export assistance is promised.
29Suspension and Termination
We may suspend or terminate access for nonpayment, material breach, fraud, unauthorized access, security threats or legal requirements. When appropriate we will provide notice and an opportunity to cure, unless immediate action is warranted. Termination does not cancel accrued fees or provisions that must survive by their nature.
30Warranty Disclaimer
To the extent permitted by law, the ERP is provided on an “as available” basis, with no guarantee of uninterrupted operation or error-free data, forecasts or calculations. Statutory rights and warranties that cannot lawfully be excluded remain unaffected.
31Limitation of Liability
To the maximum extent permitted by law, we exclude liability for indirect or consequential loss, including anticipated profits, crop yield, goodwill and business opportunity. For paid ERP services, our aggregate liability is limited to fees received for the affected ERP service during the 12 months preceding the event, unless a signed enterprise agreement specifies otherwise. This limit does not exclude fraud, wilful misconduct or liability which applicable law prohibits excluding or limiting.
32Indemnity
To the extent permitted by law, customers must indemnify the Company against third-party claims arising from unlawful data uploads, misuse of the ERP, infringement of third-party rights or material breach of these Terms, but not for losses attributable to our own breach or misconduct.
33Force Majeure
Neither party is liable for a delay or failure beyond reasonable control, including floods, natural disasters, power or internet failures, war, governmental action, widespread service-provider disruption or similar events, except to the extent law requires otherwise.
34Electronic Notices and Changes
Legal, service, account and billing notices may be delivered via application, email, SMS or other authorized channels. We may revise these Terms as the product and law change and will give any notice or request further acceptance where law requires. Continued use after effectiveness constitutes acceptance to the extent permitted by law.
35Governing Law and Disputes
Indian law governs these Terms. Subject to mandatory statutory/consumer rights and any separately negotiated enterprise dispute provision, courts of competent jurisdiction in Kanpur, Uttar Pradesh have jurisdiction.

37Entire Agreement and Severability
These Terms, the ERP Privacy Policy, displayed purchase/plan conditions and any signed customer agreement govern the relevant service. Specific signed enterprise terms override conflicting public Terms for their stated scope. If a clause is unenforceable, other clauses continue, and mandatory law prevails.

Organization administrators are responsible for lawful workforce monitoring, accurate permissions and appropriate handling of employees’ and workers’ records.
Task evidence, GPS, harvest estimates and reports may be incomplete or inaccurate and require verification before high-impact decisions.
Features, module limits, pricing and renewal terms are determined by the plan displayed at purchase or separately signed order.
